Managing a lesson program at a barn involves more administrative work than most instructors anticipate when they start. Package and Series Management

When a package is purchased, the balance is recorded in the client's account. Each completed lesson draws from the balance. When the package is nearly depleted, BarnBeacon can notify the client and the instructor. When the balance hits zero, the next lesson needs a new package or a per-session payment.
This automatic tracking prevents the common problem of clients taking more lessons than their package covers because nobody was keeping accurate count.
Cancellation and Rescheduling
Cancellations are inevitable. The question is how you handle them. Most lesson programs have a cancellation policy, typically 24 or 48 hours' notice required for a makeup lesson rather than charging without service. BarnBeacon records the cancellation and can track whether it falls within or outside the policy window.
Rescheduled lessons are rebooking events. The original slot opens back up; the client is rebooked in a new slot. The package balance isn't affected if the lesson is made up.

Billing Lessons
Lesson billing in BarnBeacon connects to the broader billing system. For package clients, the package covers the lessons until it runs out; the billing event is the package purchase. For per-lesson clients, each completed lesson creates a billable charge.
When integrated with trainer billing accounts, the lesson revenue can be tracked against the appropriate instructor, supporting the financial accounting between the barn and independent trainers.
Monthly invoices for clients who take regular lessons reflect their lesson activity alongside any board fees, creating a consolidated statement.
Session Notes and Progress Tracking
For instructors who want to provide more than basic scheduling and billing, BarnBeacon's training session tracking can be used to log notes on each lesson: what was worked on, how the student performed, and what to focus on next time.
These notes are accessible to the student or parent through the owner portal, providing visibility into their learning progress. For instructors who send regular progress updates, this portal access largely replaces the email or text that would otherwise be sent after each lesson.
Group Lesson Management
Group lessons add capacity management to the scheduling challenge. How many students per session? What's the appropriate group size for the arena? Are all students at compatible skill levels?
