Barn Management Software Setup: Getting Your Equestrian Facility Operational
Setting up barn management software correctly from the start determines how useful it will be long-term. A rushed setup creates data inconsistencies, billing errors, and staff confusion that takes months to untangle. A thorough setup, even if it takes a full day, pays dividends in operational reliability for years.

Before You Start: Gather Your Information
Setup goes much faster if you have the following ready before you open the software:
Horse and owner list: Name of every horse currently in your barn, the owner's name and contact information, and the board package each horse is on. If multiple horses belong to the same owner, note that.
Board package definitions: What is included in each board package, and what is the monthly price? Write this out clearly before you start creating it in software. "Full board: stall, daily turnout, AM and PM hay and grain. $850/month."
Add-on price list: Every service you charge for beyond base board, with the price and billing method (monthly flat rate or per occurrence).
Late payment policy: Due date, grace period, and late fee amount or percentage.
Existing health records: Coggins certificates, vaccination records, and any horses on current medications. You don't need to enter all historical records on day one, but current Coggins and active medications should be in the system before you go live.
Setup Sequence
Step 1: Create Your Facility Profile
Enter your facility name, address, contact information, and any branding elements (logo for invoices). Set your billing cycle preferences: billing date, invoice due date, and late payment grace period.
Step 2: Set Up Board Packages
Create a template for each board type you offer. Name it clearly, set the monthly price, and note what it includes. These templates become the starting point for each horse's billing configuration.
Step 3: Create the Add-On Charge Library
Enter every add-on service as a named charge item with a set price. This library is what staff will use to add charges to horse records throughout the month, so naming should be intuitive. "Blanketing - monthly" rather than "BL-MON."
Step 4: Add Horses and Owners
Enter each horse with its owner information, board package, and any special care notes. If an owner has multiple horses, link them to the same owner account for consolidated invoicing. Enter each horse's feeding instructions, blanketing instructions, and any medication currently being administered.
Step 5: Configure Health Records
Enter Coggins information, vaccination history, and active medications for each horse. Set up reminders for upcoming Coggins renewals and vaccination due dates.
Step 6: Set Up Staff Accounts
Create accounts for each staff member with appropriate permission levels. Barn manager accounts typically have full access. Staff accounts may be limited to task completion and care note entry.
Step 7: Build Your Daily Checklists

Step 8: Test Before Going Live
Generate a test invoice, complete a test checklist, and log a test health note. Verify that invoices show the correct charges, that care notes are linked to the correct horse, and that staff accounts have the right access levels.
After Setup: First Month Billing
Your first billing cycle is the real test of your setup. Review each invoice before it's sent, not just the totals but the line items. Verify that every horse is on the correct board package, that any add-ons from the previous month are captured, and that credits or adjustments are applied correctly.
